Terms & Conditions

The following terms and conditions will apply to all bookings for travel and/or holiday packages and tours with Share the T Travel Ltd including scheduled and custom tours, and will form the basis of your contract with us. For the purpose of these terms and conditions, “You”, “Guests” and “Your” refers to all passengers in the booking - the Lead Passenger who books the reservation will be deemed to have accepted these terms on behalf of all passengers travelling in a booking. “Us”, “we” refers to Share the T Travel Ltd, a company incorporated in Scotland. "In writing" also refers to electronic communication. As we are a company incorporated in Scotland, Scots Law shall govern your contract and these terms and conditions.

None of these terms and conditions should contravene or contradict the areas which apply to your booking of the Package Travel and Linked Travel Arrangements Regulations 2018 (the “2018 Regulations”) or the Consumer Rights Act 2015 and your statutory rights under any this legislation are not affected.

The Booking Process

1.1 When you book a tour or anything else with us, you agree that you accept these terms and conditions on behalf of yourself and those you are travelling with or booking for. Once we accept any money from you towards the booking, a contract will exist between You and Us. Our contract with you will be to book a trip for you on behalf (and then an individual Contract will exist between You and each Service Provider e.g. ferry company, hotel, etc - and they are responsible for fulfilling the contract) or to organise a tour for you.

The first step is filling in a booking request form. We need this to confirm available space for tours. We will contact you by email or phone to discuss your requirements, plan an itinerary for you, and we will then provide instructions with how to pay your trip cost or deposit. We do not process or keep your card details and everything is securely processed using Stripe. Using the link provided by invoice to our payment processing system, you will be able to make a payment by card (Visa, Mastercard, American Express, Maestro) or PayPal. A wire transfer can be arranged by request. The fees for any transfer service, card foreign transaction fee or other payment commission shall be paid for by you.

Travel Planning Service

1.2 For our Travel Planning Service, we will take into account your needs after a consultation by email or phone, plan a bespoke trip for you, share the itinerary and cost and make sure you're entirely happy with it. If you are, payment in full will be required. We will then book your trip for you and then an individual Contract will exist between You and each Service Provider e.g. airline, hotel, etc - and they are responsible for fulfilling the contract. If anything goes wrong, it is their responsibility to make it right however, we are here to help too to make sure everything goes smoothly on your trip. In case of cancellation by You, some elements of the trip may be non-refundable (including airfares on certain airlines, hotels etc) and other elements may have a cancellation fee apply that we will have to pass on to you. We recommend you take out comprehensive travel insurance and can help with this. It is Your responsibility to adhere to any of the Supplier's conditions (including airline conditions of carriage, any visa policies, checked luggage requirements, security deposits for hotels/car hire etc).

Guided Tours

1.3 The deposit of £50 per person for guided tours is non-refundable. The balance of the trip less the deposit amount will be due 3 weeks prior to the start date of your tour. If you book within 3 weeks of the tour operating, the full amount will be payable. For day-trips, the full amount will usually be payable when booking.

1.4 If the balance is not paid, your reservation will be treated as Cancelled and the deposit will not be returned.

​

1.5 All prices are quoted in British Pounds sterling. Any USD/EUR or other currency price is given as a guideline only based on an exchange rate on a particular day and may differ from the rate in place on the day you book. You are responsible for any currency conversion fees you may be charged.

What is Included

2.1 Transfers to the start of the tour aren't provided and we are not responsible for your transfer to the point of meeting for the tour. In case of flight delay, the transport operator you are travelling with (flight, rail, bus etc) will be responsible and you should claim with your travel insurance against them. We will endeavour to help in these situations as much as we can. Unless arranged separately with us and at an additional cost, accommodation is not provided before or after your tour unless otherwise stated in the itinerary.

2.2 Flights are not included in our packages. We cannot be responsible for any changes made by the airlines after booking and are not responsible in the case of no-shows or delays checking in for your flight.

2.3 In our Tours, we include: â€‹

  • Entry to all named attractions as listed in your itinerary

  • Service of a driver-guide for Scotland and UK/Ireland itineraries

  • Passenger vehicle with 6 passenger seats maximum for Scotland itineraries

  • Services of local accredited city guides, a tour organiser, driver and/or rail travel for Italy and European tours outside the UK and Ireland

What is not included:

  • Flights to/from the tour destination

  • Meals, coffee/tea stops that aren’t explicitly listed in the itinerary

  • Travel insurance or personal insurance

  • Tips & Gratuities you choose to give - we give our suppliers gratuities where appropriate on your behalf

  • Passport, vaccinations or visa costs

  • Any attractions listed as ‘optional’

  • Accommodation unless otherwise discussed

  • Any costs arising before your tour starts or after it’s finished

  • Any costs due to unforeseen circumstances during your tour holiday

2.3 We take all practical and reasonable steps to make sure that all the accommodation and services are as advertised. We cannot be held responsible for acts or omissions that we do not directly control -  for example accommodation or restaurants or the behaviour of persons not directly employed by us.

​

2.4 We cannot be held responsible for your illness, personal injury or death as a result of misadventure that arises from an activity that is not part of the itinerary, including activities that you undertake in your own free time during the tour.

​

2.5 Your luggage cannot exceed 15kg (33lbs) and you can bring an additional small bag inside the vehicle. You must be able to comfortably lift your case up and down onto overhead luggage racks, in and out of buses, and to/from the vehicle and your accommodation including up stairs.

Age Limits

3.1 For our scheduled tours, due to health and safety requirements of some of the attractions we visit, we can accept travellers aged 12 and older (children aged under 18 must be travelling with an adult legal guardian) who are taller than 135cm. 

​

Accommodation

4.1 Our accommodation for group tours is hand-selected by us and may be a mixture of generally mid-range hotels, B&Bs, or apartments. We try to use family run accommodation as much as possible but this is not always possible.  We handpick our accommodation based on convenience, location and cleanliness and try to aim for 'good value, clean and cheerful' in order to provide the best prices available to you. You will have an en-suite or private bathroom access. For custom tours, we can organise more budget accommodation or higher end accommodation based on your requirements.  Our accommodation suppliers are places we have personally stayed and we carefully select them. Hotels and B&Bs in Europe may not have air conditioning/room service/24 hour reception or a lift and you may be required to carry your luggage upstairs to your room. In more rural locations, facilities may of course be more limited than in a city. We try to ensure the group stay in the same hotel/B&B/apartment but in more rural areas this may occasionally not be possible.

If We Make a Change...

5.1 We always attempt to follow our itineraries which are provided as guidelines, but we sometimes may need to make alterations or changes, or provide activities on different days than what is stated, especially due to adverse weather or if an outside service provider suddenly cannot provide the service on the scheduled day. Changes we make are usually minor and if something cannot go ahead, we will provide an alternative activity of equal value and discuss this with the group.

5.2 If a tour is confirmed, we will guarantee that departure unless an unforeseen circumstance arises beyond our control such as: war, riots, terrorism, natural disasters, unusual or dangerous weather conditions, pandemics, changes to FCO travel advice, transport failure due to strikes or breakdown, sudden unannounced closure of advertised attractions or accommodation. We will endeavour to mitigate these as much as possible, if we must cancel a tour a full refund including your deposit will be provided to you. All monies held by us are protected under the 2018 Package Travel Regulations in a trust account until the completion of your tour.

5.3 When rail travel is used, in the case of delayed or cancelled trains we will ensure that you still undertake as much of the itinerary as possible, compensation for missed portions of the itinerary will be provided in case of an unlikely extreme delay.

5.4 We pride ourselves on flexibility too, it's one of the advantages of a small group tour. If the majority of the group would like to do something different and we can work it in to our itinerary, we are pleased to do this, however you acknowledge we may need to go with what the majority want in this case.

 

If You Need to Make a Change...

6.1 You must let us know in writing if you wish to cancel your trip at least 6 weeks prior to the start date of your trip. We will hold your deposit and allow you to apply it towards a future trip. If you do not advise us you wish to cancel and do not pay the balance by the due date, your booking will be treated as Cancelled with no refund provided.

6.2 For day trips, you can cancel up to 7 Days prior to the start date of the trip and obtain a refund. A cancellation  fee of £20 per passenger will apply.

Covid-19 Changes

7.1 We must adhere to any Covid-19 Procedures and restrictions that may be in place at the time of your tour.

​

Guest Expectations

8.1 Our scheduled tours are physically active - you must bring comfortable walking shoes for all weather types, and be able to walk over uneven terrain, in cities, and in all types of weather. On some days, we may walk up to 10km per day over the course of a day! We do want to be as inclusive as possible and accommodate any mobility issues or disabilities when we can - please provide us with details when making a booking enquiry so we can let you know if the trip is suitable. If we are not informed of any medical problems or disabilities then we cannot be held responsible for any costs incurred.


8.2 We are so excited to welcome Guests from all over the world on our tours - part of the experience with Share the T is sharing the travel together. We ask that Guests practice respectful good behaviour towards each other, our staff, and suppliers at all times. In case of extremely poor behaviour including excessive drunkenness, drug misuse, inappropriate behaviour towards another Guest or Staff or damaging property, we may need to take action in order to protect other Guests and ensure our tour is an enjoyable experience for all, and this may include asking you to leave the tour in a very extreme case.

8.3 It is a requirement to ensure you have travel health insurance in place at the time of your final payment to us.

​

8.4 We ask that Guests follow all safety procedures and familiarise themselves with fire escape routes in accommodation and also follow instructions when travelling including wearing a seatbelt at all times when the vehicle is in motion. 

​

8.5 We must be made aware of any dietary requirements or restrictions when booking to ensure we can provide this for you. We cannot guarantee an allergy-free tour because we don't have control over facilities that are not our own, and we also can't control food that other Guests may bring or consume

8.6 There is a UK-wide smoking ban in effect. Smoking is not allowed inside our accommodation, attractions, restaurants or within vehicles however we make plenty of stops along the way should you wish to smoke.

​

8.7 You consent to us using images and videos of you taken during the tour for advertising and other promotional purposes. You grant us a licence to use any photos that you or another guests take and share with us or publish on our social media pages for advertising and promotional purposes. You will retain ownership and copyright of any photos you take and grant us a licence to use them. 

 

Visa & Entry Requirements 

9.1 British Citizens who purchase a holiday taking place outside the UK need to be aware of requirements to enter the EU. The current requirements as of 1 January 2021 are that your passport must be valid for 6 months beyond your return date to the UK. No visas are currently required, however you are only permitted to stayt 90 days in a 180-day period in the Schengen Area, so please ensure you have not reached the 90 day limit when the dates of your holiday are included.

9.2 Other nationalities may require a visa for the UK or a Schengen visa for the EU, you are responsible for organising your visa, keeping in mind the process could take up to 3 months. Our tours include walking and physical activity so travel health insurance is required to be in place at the time of your final payment to us.

Insurance

10 You must ensure you have taken out suitable travel insurance which should include medical and cancellation cover. We recommend ensuring it has Covid-19 cover as well. You must provide evidence that you have insurance prior to your trip beginning in case of emergency.

If you have an emergency, accident or incident on one of our trips, we may claw back expenses incurred due to this from your insurance company.

​

Complaints Procedure

11 If you have any problem or issue during your tour, you must report it at the time it occurs to the Tour Organiser who will be travelling with you or your group. If the problem is not resolved to your liking, you should submit a written or emailed report to us  within 28 days of the tour’s end date. We cannot be held responsible for complaints not mentioned to your Tour Organiser at the time or within 28 days of the end of your tour. We really want to ensure your satisfaction and know how important your holiday is - we also undertake surveys with our guests at times to make sure the accommodation and food and experiences we offer are satisfactory.

 

Force Majeure

12 We will have no liability to you, unless it is explicitly stated, from fulfilling our contractual obligations to you as a result of any event or activity that is outside our control as well as those outside the control of our suppliers. Events and activities include but are not limited to: war/threat of war, terrorist activity/threat of terrorist activity, riots, actions taken by a government authority, FCO advisory against travel, fire, road and traffic accidents, adverse weather, natural disasters, earthquakes and other unforeseen circumstances

Payment Protection

13 We abide by The Package Travel and Linked Travel Arrangements Regulations 2018 which are in force for your protection. All monies held by us will be in a trust account under the control of independent trustees until the competition of your tour, so you can enjoy your tour with us with complete peace of mind that your money is protected and is only used for your booking.
